Event Tea Bars

Cup Of Tea Co sets up curated tea stations for launches, celebrations and daytime functions, with loose-leaf tea, rooibos and herbal infusions served neatly and on time. From Stellenbosch to Cape Town, Johannesburg and beyond, we plan the blend list, equipment and refill rhythm so the tea service runs well.

Event Tea Bars

A Tea Station That Fits The Occasion

Our event tea bars are planned for gatherings where guests want something more considered than a standard urn and sachet setup. We supply a tidy, working tea station with a choice of loose-leaf teas, rooibos blends and herbal infusions, plus the serving pieces needed to keep the flow moving. The station can suit a product launch, bridal shower, business breakfast, gallery opening, team workshop or daytime wedding. For outdoor functions in Stellenbosch or Somerset West, we also plan for wind, sunlight and table placement so cups, lids and jars stay organised.

Each setup is tailored to the number of guests and the pace of the function. A small tasting table may only need 3 tea options and one attendant, while a larger launch can call for 6 to 8 tea options, labelled jars, milk alternatives, sweeteners, tongs and disposable or reusable serviceware depending on your venue rules. Where load shedding is a risk, we can also work with low-power warming solutions and simple back-up serving methods, because the tea service should still work when the lights go off.

What Is Included In The Hire And Service

The tea bar is supplied as a complete service package, not just loose leaf tea in tubs. Depending on your function size and budget, the following can be included:

  • Curated tea menu with rooibos, black tea, green tea and herbal infusions
  • Labelling for each blend with flavour notes and caffeine guidance
  • Tea dispensers, jars or canisters for neat counter presentation
  • Teapots, strainers, scoops, timers and serving trays
  • Milk, sugar, honey and lemon service on request
  • Cups, lids and stirrers for standing events or take-away style service
  • One or more attendants for pouring, topping up and guest assistance
  • Set-up, breakdown and packing of all tea station items

For corporate functions we can keep the tone clean and understated, with simple labels and organised tray layout. For weddings and celebrations, the station can be dressed a little more warmly with gift tags, ribbon or a personalised tea menu. We keep the look practical, not fussy.

How We Plan Your Tea Bar From Enquiry To Function Day

Once you send an enquiry through our contact form, we confirm the event date, venue, guest count and the style of service you need. We then suggest the tea list, station size and service flow. If the event is in a hotel, wine farm, conference venue or private home, we check the available table space, access points and whether the venue has hot water, power and wash-up facilities. This matters especially in coastal areas where humidity can affect storage, or in heritage venues with strict rules about open flames and water service.

After that, we prepare the tea blends and any extras needed for the day. We can work with a formal tasting beforehand for clients who want to sample a few blends before confirming the menu. Our team then packs the station items, labels every blend clearly and schedules delivery or collection in line with the venue load-in time. If needed, we can coordinate with planners, caterers or venue managers so the tea area is placed correctly and not in the way of food service or speeches.

  • Enquiry and event brief
  • Tea selection and quotation
  • Confirmation of numbers, timing and venue access
  • Preparation, packing and delivery
  • On-site setup and service support
  • Pack-down after the function

Tea Menu Options For Different Guest Numbers

The tea list is scaled to suit the event, from small private gatherings to large daytime conferences. For 20 to 40 guests, a compact menu of 3 or 4 blends works well and keeps the table uncluttered. For 50 to 150 guests, we usually recommend a broader mix with at least one caffeine-free rooibos option, one herbal infusion and two traditional teas. Bigger events in Cape Town, Pretoria or Johannesburg may need a second tea point so guests do not queue too long.

Common tea bar options include smooth rooibos, spiced rooibos, citrus herbal infusions, mint blends, classic black tea and lighter green teas. We can also prepare custom blends for a launch, client event or wedding favour tie-in. If the event has a set theme or brand colour palette, we can coordinate the tea names and labels to suit the mood without making the station feel overdone.

  • Small event: 3 tea options, 1 attendant, 1 serving table
  • Medium event: 4 to 5 tea options, 1 to 2 attendants, 1 or 2 tables
  • Large event: 6 to 8 tea options, multiple refill points, split service zones

Pricing Based On Guest Count, Tea Range And Service Time

Our pricing is quoted according to the number of guests, the number of blends, the length of service and whether staff are required on site. A simple station for a short daytime function will cost less than a full service tea bar with attendants, custom labels and extra refills. We also factor in delivery distance, especially for outlying venues around Paarl, Bloemfontein or Durban where courier and travel costs need to be allowed for in advance.

We do not quote one flat price for every event because the needs are too different. Instead, we price the tea selection, equipment, labour and any custom packing separately so you can see where the money is going. That makes it easier to adjust the order if you need to scale back or add more service time. For larger corporate bookings we can also build a staged quote, which helps if the event budget is approved in phases.

If you need a tea bar for a longer programme, we can estimate refill quantities and maintenance intervals based on expected foot traffic. This avoids under-ordering and helps keep the service looking neat from first pour to last cup. A station that is checked every 20 to 30 minutes usually stays tidy and well stocked for most daytime functions.

Maintenance, Refill Rhythm And Pack-Down

During the function, the tea station is monitored at regular intervals so jars stay full, labels remain visible and used items are cleared before the area looks untidy. For higher foot traffic events, we suggest a check every 20 minutes at the start and every 30 minutes once the rush settles. If your venue is busy or the tea bar is part of a networking session, a second refill point may be needed to keep the queue short.

After service, our team packs down the station and removes used items from the venue in line with your event plan. Where reusable equipment is supplied, it is counted and checked on return. We take care with breakables and hot-water items, especially at venues with tight load-out windows or limited back-of-house space. The aim is simple: the tea bar should arrive looking orderly, work properly during service and leave no mess behind.

For clients booking multiple functions, such as a conference series or seasonal launches, we can keep a consistent tea profile across dates. That helps with brand continuity and means you do not have to re-explain the tea menu each time.

Questions we get asked

How many tea options do you recommend for a function?

For most daytime events we suggest 3 to 5 tea options. Smaller groups can manage with 3, while larger events benefit from a rooibos, a herbal infusion and at least one classic tea.

Can you do tea bars for outdoor venues?

Yes. We plan for wind, heat and table placement, and we can adapt the setup for farms, gardens and courtyards. If the venue has power limits or load shedding concerns, we work around that too.

Do you supply attendants with the tea bar?

Yes, if you need them. We can provide one or more attendants to handle pouring, topping up and guest questions, which is useful for launches, weddings and busier corporate functions.
